Job Vacancy: Office and Residence Manager, Nordic Centre in India

The Nordic Centre in India (NCI) India Liaison Office opens a call for a full time position of an Office and Residence Manager of its Delhi Liaison office. The NCI is a consortium of Nordic universities founded in 2001. Currently NCI has 17 institutional members from all five Nordic countries and the Baltic Region. The main purpose of the NCI is to jointly develop academic relationships and activities between Nordic universities and corresponding Indian universities and institutes.

Working areas/Key Responsibilities

Running of Liaison Office:

  • support the work of the Director of the Liaison office by providing assistance when required for student programmes
  • assist in fulfilling the legal compliances of the registered liaison office with the support of the Director
  • assist the Director in financial administration by maintaining accounts, making payments, managing communication with the Indian bank, Indian Chartered accountant and the accountant at the Nordic secretariat
  • maintain transparency in the process of administration by maintaining records and writing  quarterly reports
  • provide logistic support for event organization at the Delhi residence
  • assist in NCI’s web and social media presence with the support of the Director

Running of Director’s Residence:

  • managing booking requests, booking calendar, airport pickups and drops, providing logistic support, handling all communication with regard to the guests stay and fulfilling NCI’s legal and internal requirements for all guests
  • managing the office help to meet the requirements of the guests and to ensure the maintenance of the residence in cooperation with the Housekeeper
  • managing small purchases, repairs, etc. involved in running and maintaining the residence

Qualifications

We expect that you:

  • have a relevant academic background
  • possess sufficient administrative and project management skills
  • preferably have experience from a similar position
  • fluent in English
  • are flexible and socially competent and have a talent for providing good service
  • are prepared to work on different duties and be flexible over a year cycle
  • willing to work in a team and be accountable for the performance of the whole office
  • willing to undertake relevant local travel as necessitated by the job requirements

We prefer candidates based in Delhi.

The NCI has a liaison office and a rented apartment for its operations in New Delhi, India. The Nordic secretariat of the NCI is currently hosted by Tampere University. The highest decision making body of the NCI is the annual General Assembly (GA), to which each member institution can send one delegate. The Board of the NCI takes care of operational leadership. It has six members, one from each Nordic country (plus personal deputy members), and a chairperson. The Board is nominated by the General Assembly.

Recruitment procedure

This is a fixed-term position filled for a period up to 3 years, with an option to change to a permanent position linked to the liaison office. The Office and Residence Manager is appointed by the NCI Board, and the recruitment and appointment procedure follows the NCI Bye-laws.

Formalities

The salary is 45,000 to 60,000 INR per month, depending on qualifications and experience.

Per month Pension contribution: 10.000 INR; Health insurance contribution: 2.500 INR included
